Who we are

East Anglia FireScope Ltd is responsible for the personal information it collects through this website and in connection with enquiries and its inspection and surveying services. We are registered in England and Wales under company number 15907318. Our registered office is 48 Newnham Green, Gorleston, Norfolk, NR31 7JX. Contact us about privacy at info@eafs.co.uk, by telephone on 01493 253023 or by writing to our registered office.

Information we collect

We collect information you provide when contacting us, requesting a quotation or arranging services. This may include your name, organisation, contact details, site address, enquiry correspondence and documents or photographs you send. Asset schedules, floor plans, fire strategies and fire risk assessment reports may contain information about other people. Please only provide information you are entitled to share and avoid unnecessary personal or sensitive information.

We may also receive business contact and site information from the organisation commissioning our services or its authorised representatives. Technical information generated when the website is used may include IP addresses, browser details and security or error logs, depending on the website configuration.

How and why we use information

We use information to respond to enquiries, prepare quotations, arrange and deliver services, communicate with clients, maintain business records and keep our systems secure. Where you are personally entering into a contract with us, we rely on taking steps at your request before a contract or performing that contract. For contacts acting on behalf of an organisation, we rely on our legitimate interests in responding to business enquiries and managing and delivering our services. We also rely on legitimate interests to protect our systems and maintain records needed to resolve queries or defend legal claims. Where we must retain or disclose information to meet a legal obligation, we rely on that obligation.

Providing enquiry information is voluntary, but we may be unable to respond or prepare a quotation without sufficient contact and site details. Sending an enquiry does not subscribe you to marketing. We do not use enquiry information to make solely automated decisions with legal or similarly significant effects.

Who may receive information

Access is limited to those who need information for the relevant purpose. This may include our authorised personnel and providers supporting website hosting, email, IT systems and secure records, as well as professional advisers, insurers or authorities where necessary. Our website is hosted with Cloudflare. Service providers must handle information under appropriate contractual and security arrangements.

East Anglia Fire Doors is a separate company. Shared ownership does not mean your enquiry is automatically passed to it. If you ask us to refer an enquiry, we will explain the information needed and the proposed recipient before sharing it, unless another lawful reason requires disclosure.

Storage and retention

We keep personal information only for as long as needed for the purpose for which it was collected. For enquiries, we consider whether the enquiry remains active and whether follow-up is reasonably expected. For client and inspection records, we consider the service provided, contractual and insurance requirements, legal record-keeping duties and the need to handle complaints or claims. Records are reviewed and deleted or anonymised when no longer needed, subject to any necessary legal hold. Contact us if you need information about the retention of a particular record.

We use appropriate access controls and security measures to protect information. No internet transmission can be guaranteed completely secure. Please contact us before sending particularly sensitive records so suitable arrangements can be made.

Your rights and complaints

Depending on the circumstances and lawful basis, you may have rights to access your information, correct inaccuracies, request erasure or restriction, and receive or transfer information in a portable format. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing.

Your right to object: you can object to processing based on our legitimate interests. Contact info@eafs.co.uk to exercise your rights or raise a privacy complaint. We may need to confirm your identity before responding. You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/.

Cookies and similar technologies may be used to operate and secure the website. The cookie information shown on this site explains the technologies actually used, their purposes, providers and duration, and the available choices. Where consent is required for optional technologies, they will not be enabled until you choose to allow them. You can change those choices using the site’s cookie controls.

Cookies used on this website

This website does not set any cookies. No analytics, advertising or other optional technologies are used, so no consent choice is needed.

External websites have their own privacy arrangements. This policy is updated when our processing changes; the date displayed on the page identifies the latest revision.
